Overview

What a DeskPro data entry & processing professional does

Data entry and processing from The DeskPro puts a dedicated professional behind the keying, validation and cleanup work every operations team accumulates and nobody owns. The role covers form and invoice entry, document digitization, database hygiene, deduplication, and spreadsheet-to-system reconciliation. It is built for US companies whose data volume has outgrown the finance and operations staff squeezing it in around their real jobs.

Your professional works inside your systems: your CRM or ERP, your spreadsheets, your document repository and your shared inbox, under credentials you issue and conventions you set. We recruit, screen and train for the role and handle performance oversight and quality reviews, while your team owns the queue and the priorities.

Double-Key Verification and Accuracy Sampling

Accuracy is a process, not a promise. Before volume starts we agree which fields are critical enough to be keyed twice by different people, which can be checked by rule, and which take a single pass.

Completed batches are then sampled: a DeskPro team lead re-checks a random set of records against the source document and logs the result, so error rates are visible per batch and per person. Failed samples are reworked, and the ambiguous field rule behind them usually gets rewritten too.

  • Agree critical fields before volume starts
  • Double-key and compare high-risk fields
  • Rule-check ZIPs, invoice totals and date order
  • Sample completed batches against source documents
  • Log error rates per batch and reviewer
  • Route exceptions to you with source attached
02

Deduplication, Database Hygiene and Migration Prep

Most databases carry years of quiet damage: one customer entered four ways, addresses in five formats, dead domains, blank fields, test records nobody removed. None of it is urgent, and all of it degrades your reporting, segmentation and anything automated reading those fields.

Cleanup and migration prep run against a written rule set you approve before a single record is edited, in logged batches so any edit can be traced and reversed. Recurring reconciliations follow the same discipline, returning a short exception report.

  • Approve duplicate, merge and survivor rules first
  • Resolve conflicting values by written rule
  • Archive superseded records instead of deleting them
  • Test-load field mapping before the full run
  • Compare record counts and control totals after
  • Itemize reconciliation mismatches with both values shown

Why it works

What changes once the role is covered

The point is not to add a person. It is to give the workload a permanent owner.

Error rates you can see

Accuracy is sampled, logged and reported per batch, so weak batches reach you before a customer or auditor does.

Backlogs that actually clear

A dedicated professional works the queue every business day, so digitization, deduplication and cleanup stop being projects that get postponed.

Clean data downstream

Reporting, segmentation, billing and automations are only as good as the fields they read, so ongoing hygiene protects them all.

Cost-efficient added capacity

A DeskPro professional costs meaningfully less than an equivalent in-house data hire, making scheduled cleanup affordable rather than permanently deferred.

Good fit

Who this service is built for

If more than one of these describes your operation, this is usually the first role worth outsourcing.

  • Finance teams keying high invoice volume monthly
  • Companies digitizing paper or scanned document archives
  • Businesses whose CRM is thick with duplicate records
  • Teams preparing data for a platform migration
  • Operations groups reconciling spreadsheets against a system of record

Accuracy is defined field by field before volume starts, then measured by sampling. A DeskPro team lead re-checks a random set of records from each batch against the source document, so completed work arrives with an error rate attached. Failed samples are reworked and the underlying field rule rewritten.
