Information we collect

We only collect information you choose to give us, plus limited technical data needed to run the site.

Information you submit

• Contact and enquiry forms: your name, email address, phone number, company name, company website, employee count, the topic of your enquiry and your message.
• Candidate requests and consultation bookings: the above, plus organization type, roles required, number of seats, target start date, coverage hours, systems you use and any indicative budget band you select.
• Job applications: your name, contact details, location, experience, software familiarity, language proficiency, availability, salary expectation, any résumé or LinkedIn link you provide and your cover note.
• Affiliate applications: your name, contact details, company, website, partner type, a description of your audience and your payout preference.
• Newsletter signups: your email address and optionally your name.

Information collected automatically

• The page you submitted a form from, and the referring page if your browser sent one.
• Campaign parameters present in the URL (for example utm_source), so we can tell which channels bring us enquiries.
• Your IP address and browser user-agent string, recorded with form submissions for security, abuse prevention and rate limiting.

We do not use advertising cookies or third-party tracking pixels on this site, and we do not sell personal information.

How we use your information

• To reply to your enquiry and, where relevant, scope a staffing requirement.
• To send you a confirmation email acknowledging your submission.
• To assess job and affiliate applications.
• To send The Operations Brief newsletter, if you subscribed.
• To protect the site against spam, abuse and automated submissions.
• To meet our legal, accounting and contractual obligations.

We do not use your information to make automated decisions that have a legal or similarly significant effect on you.

Marketing email

Transactional emails (confirmations, replies to your enquiry, recruitment correspondence) are sent because you contacted us. Newsletter email is only sent if you subscribed, and every issue includes an unsubscribe link. You can also email us and we will remove you.

Who we share information with

We share personal information only where it is necessary to operate:

• Service providers: our website hosting provider, database hosting provider and email delivery provider, each acting on our instructions.
• Clients: if you apply for a role and reach the client-interview stage, we share your application with the specific client concerned, and we tell you which client that is first.
• Professional advisers and authorities: where we are legally required to disclose information.

How long we keep it

• Enquiry and consultation records: up to 24 months from your last contact with us.
• Job applications: up to 12 months, so we can consider you for later openings.
• Affiliate records: for the life of the partner relationship, then up to 24 months.
• Newsletter subscriptions: until you unsubscribe.

You can ask us to delete your information sooner and we will, unless we are legally required to keep it.

How we protect it

Data is transmitted over encrypted connections, stored in access-controlled databases and reachable only by the people who need it to do their job. Our internal lead dashboard sits behind authentication with role-based access. No system is perfectly secure, but we take these obligations seriously and review them as the business grows.

Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to certain processing, and to withdraw consent for marketing email. To exercise any of these, email info@thedeskpro.com. We will respond within the timeframe the applicable law requires, and we will not discriminate against you for making a request.

Children

This site is intended for business users. We do not knowingly collect personal information from anyone under 16. If you believe a child has submitted information, contact us and we will delete it.

International transfers

We are based in the United States and our team members work from several countries. Where information is transferred internationally, we do so under contractual confidentiality obligations and restrict access to what each role requires.

Changes to this policy

If we change this policy we will update the effective date at the top and, for material changes, note the change on this page. Continuing to use the site after a change means you accept the updated policy.
