The operational reality

Where mgas & wholesalers lose time

An MGA or wholesale brokerage lives on submission flow, and the account quoted first is very often the account that gets written. The DeskPro builds dedicated remote teams that absorb the documented, repeatable layer of that work: submission intake, clearance, quote preparation, binding administration and retail agent servicing.

Your team members are recruited, screened, trained and managed by us, and they work inside your underwriting platform, your document management system and your agent-facing inboxes, on your shift and to your documented standards. Start with one intake coordinator or underwriting assistant on a defined queue, then add seats as volume and accuracy prove out.

Challenges

What we hear most often

These are the constraints that show up again and again in scoping calls with organizations like yours.

Submissions Arrive Incomplete

Underwriters do intake before they can judge appetite when an ACORD arrives with no loss runs, SOV or effective date.

Clearance Is a Gate Everything Waits On

Duplicate submissions, broker of record letters and forgotten prior declinations all have to be resolved before anyone quotes.

Binding and Issuance Pile Up Behind the Quote

Binders, invoicing, policy checking, endorsements and surplus lines filings land after the interesting work and slip first.

Retail Agents Judge You on Turnaround

When status calls and change requests compete with new submissions for underwriting hours, service quality gets traded away.

Our approach

How we build the team around your operation

01

Submission Intake and Clearance Before Underwriting

Your intake team works the submissions inbox as a queue with a clock on it. Each submission is logged, indexed to the right retail agent and producer code, then run through clearance against prior submissions, broker of record status and duplicate agent activity. Completeness is checked against a checklist you define by line of business, and missing items go back to the retail agent as one consolidated request rather than three emails over a week.

  • Log and index submissions by producer and effective date
  • Clear against prior submissions, declinations and broker of record conflicts
  • Verify ACORDs, supplementals, loss runs, SOVs and driver schedules
  • Chase missing information and track agent responses
  • Route cleared files by appetite, state and program
  • Flag out-of-appetite risks for a quick decline
02

Quote Prep, Binding and Agent Servicing

Once a file is cleared, your underwriting assistant enters exposure data, summarizes prior losses, checks carrier and program guidelines, and prepares a draft quote for the underwriter to price and approve. The same person issues the quote letter to your template and follows up before it lapses.

Authority stays where it belongs: your team does not select risk, set price or bind coverage. After a bind order, they run the binder, invoice, policy check and filing preparation on the same tracked queue.

  • Enter exposure data and prepare draft quote letters
  • Track outstanding subjectivities, fees and expiration dates
  • Issue binders and invoices with correct taxes and fees
  • Check issued policies against what was quoted and bound
  • Prepare surplus lines filing packets and state deadline calendars
  • Answer retail agent status, extension and certificate requests

Outcomes

What changes once the team is live

Not projections: the operational differences clients describe once the workload has a permanent owner.

More of the Flow Actually Gets Quoted

Clean intake and same-day clearance put submissions in front of an underwriter before the account is placed elsewhere.

Underwriters Back on Risk Selection

Data entry, document chasing and status replies move off underwriting desks, freeing expensive hours for appetite, pricing and carrier relationships.

Retail Agents Get Answers the Same Day

Status questions, quote extensions and certificate requests reach a named person whose job that is, which keeps agents submitting.

Bind-to-Issue Stops Slipping

Binders, invoices, policy checking and filing packets run on a dated queue, not at the end of a busy week.

Questions

MGAs & Wholesalers: common questions

No. Underwriting authority, pricing and binding stay with your licensed underwriters, while your DeskPro team members prepare, document, follow up and administer. During onboarding we map where each task hands back to your staff, and that boundary is part of the standard their work is reviewed against.
